About Lesson
These are equipments designed for storage of information in an organization and consists of covers, folders filing cabinets etc. When it comes to filing equipment, both individuals and businesses have numerous options. High levels of security are offered by some options, while high file densities can be accommodated by others. Space constraints, the sensitivity of your files, and whether you prefer physical or electronic records all play a role in what filing system you should use. The different types of filing equipments used in most offices include:-
Physical Filing Equipment
- Filing Cabinets: File cabinets come in a variety of shapes and sizes to accommodate the various types of material to be filed. The size of the file cabinet is determined by the size of the individual sheets or cards to be filed, because materials are usually filed without folding. The material should be slightly smaller to the drawer or cabinet. Using a cabinet that is larger than necessary is a waste of space and material.
- Open Shelving: Open file shelving keeps files more organized and takes up less space than lateral four-drawer file cabinets, and it’s also much more accessible to employees, allowing them to quickly find and access what they need. Unlike lateral file cabinets, which require space for drawers, open filing shelves have a vertical design that takes up to 60% less space and has fully adjustable shelves for storing whatever you need.
- Mobile Shelving: Another option for saving space while storing files, boxes, and office supplies is mobile shelving. With the pull of a handle, the turn of a crank, or the push of a button, mobile shelving moves back and forth on tracks. Because the aisles compact together and only one or two access aisles are required at any given time, they take up much less space than static rows of shelving. When compared to traditional lateral and vertical filing cabinets, mobile shelving saves up to 66 percent in floor space and can be used with new or existing shelving units to save money.
- Pull-Out Shelves: The patented linear motion design of pull-out retractable shelves provides space savings, increased storage capacity, security, and ease of operation. The movable carriages slide in and out, using the natural egress aisle in front of the shelving for access. Multiple users can access multiple shelving units at the same time because the shelving units operate independently of one another, and each unit can be customized with different depths and widths. The units can also be moved or expanded without causing any disruption to the neighboring units.
Digital Filing Equipment
- External Devices: It’s convenient to store files on a computer’s internal hard drive, but if the hard drive becomes corrupted or physically damaged, you risk losing your data. Users may want to back up their data to an external device to mitigate this risk. PC World suggests backing up important files to an external hard drive and transferring files with a thumb drive as needed.
- Servers: A server is a good investment for businesses that want multiple parties to have access to the same data. Many users’ files are stored on servers, which act as a central repository. Multi user applications, such as databases and enterprise resource planning systems, can be hosted on the server, according to PC World. This makes it simple for a large number of people to share the same files. For added security, server data can be backed up to an external device or the cloud.
